 Microsoft’s Latest OneDrive Push

Starting mid-March 2025, Microsoft is rolling out a new feature that will prompt Microsoft 365 users to back up their files to OneDrive. These prompts will appear in Word, Excel, and PowerPoint, encouraging users to enroll in OneDrive Known Folder Move (KFM).

According to recent reporting by BleepingComputer, the prompts will display a message stating: “BACK UP THIS DOCUMENT: Share and work with others in this and other files using OneDrive.” After users click the “Open OneDrive” button, they can select which folders they want to back up to OneDrive.

Microsoft plans to roll this feature out in public preview until early April 2025, with general availability worldwide by early May 2025.

 What is Known Folder Move (KFM)?

OneDrive Known Folder Move is a feature that redirects Windows known folders (Documents, Desktop, and Pictures) to OneDrive to prevent data loss. This functionality allows users to have their important files automatically synchronized to the cloud.

 Potential Concerns for Organizations

While cloud backup has clear benefits, this change raises several concerns for IT administrators:

  1. Data Governance: Automatic backing up of business documents to OneDrive could create data governance challenges, especially for regulated industries.
  2. Shadow IT: Users might inadvertently back up sensitive company data to personal OneDrive accounts.
  3. User Confusion: The prompts may confuse users who are already following company-specific backup procedures.
  4. Bandwidth Usage: Mass adoption of KFM could increase network bandwidth usage as users’ folders are synchronized to the cloud.
  5. Control of Company Data: IT departments may lose visibility into where company data resides if users back up to personal accounts.
 How to Manage These Prompts

Microsoft notes that these OneDrive backup prompts will not be displayed for users whose organizations have blocked OneDrive KFM. For organizations that wish to maintain control over how their users interact with OneDrive, there are several options:

Option 1: Block Known Folder Move Completely

To prevent users from moving their Windows known folders to OneDrive, you can configure a Group Policy setting:

  1. Enable the “Prevent users from moving their Windows known folders to OneDrive” policy.
  2. This sets the following registry key value to 1:
    [HKLM\SOFTWARE\Policies\Microsoft\OneDrive]"KFMBlockOptIn"=dword:00000001

Option 2: Control Which Folders Can Be Moved

If you want to allow KFM but with organizational control:

  1. Configure “Silently move Windows known folders to OneDrive” policy with your tenant ID.
  2. Specify which folders (Desktop, Documents, and/or Pictures) can be redirected.
  3. Set up the appropriate registry keys:
    [HKLM\SOFTWARE\Policies\Microsoft\OneDrive]"KFMSilentOptIn"="YOUR-TENANT-ID"

Option 3: Prevent Personal OneDrive Use

To specifically block users from syncing personal OneDrive accounts:

  1. Enable the “Prevent users from syncing personal OneDrive accounts” policy.
  2. This sets:
    [HKCU\SOFTWARE\Policies\Microsoft\OneDrive]"DisablePersonalSync"=dword:00000001

Microsoft confirms that moving known folders to personal OneDrive accounts is already blocked on domain-joined PCs, but this additional layer of control can ensure compliance with your organization’s data policies.

To effectively manage these upcoming changes:

  1. Review Current Policies: Assess your existing OneDrive and cloud storage policies.
  2. Update Group Policies: Implement the appropriate Group Policy settings before the feature rolls out.

  4. Audit Current Usage: Understand how OneDrive is currently being used in your organization.
  5. Consider Hybrid Approaches: You may want to allow KFM for certain user groups while restricting it for others.
