OneDrive for Business Management

How We Manage Your OneDrive

Files backed up, governed, and recoverable, not quietly at risk.

Known-folder move done right: Desktop and documents folders redirect into OneDrive, so the files people swear are on the server are actually captured in the cloud.

Sharing controlled: External sharing is scoped and links expire, so a sensitive document does not quietly end up public or shared forever.

Retention in place: Policies keep version history and deleted files, so a file is recoverable weeks later instead of gone when the recycle bin empties.

Ransomware sync contained: We monitor for encrypted files syncing up and keep clean versions, so we roll back to the point before ransomware hit.

Departing-employee files recovered: When someone leaves, their OneDrive is retained and handed to a manager before the account is closed, so project files do not vanish.

Real backup behind it: OneDrive is sync, not backup, so we pair it with true backup, because a synced mistake is still a mistake everywhere.

A Katy-based engineer owns it: One engineer manages your OneDrive policies and the departing-employee handoff, so files stay with the business, not the person.

Make OneDrive protect your files, instead of losing them the week someone quits.

OneDrive for Business  //  Houston SMBs

OneDrive syncs everything everywhere. That is the feature and the problem.

OneDrive is quietly holding a lot of your business: desktops, documents folders, half the files people swear are on the server. Left at default, it also shares too easily, keeps no real retention, and hands a departing employee’s files straight into deletion when their account is closed. And if ransomware hits a laptop, OneDrive will happily sync the encrypted versions to the cloud.

CinchOps manages OneDrive for Business the way it should be set up: sharing controlled, retention in place, known-folder move done right, and a recovery path for the files that always seem to vanish the week someone leaves.

// What CinchOps does

CinchOps manages OneDrive for Business for Houston SMBs, sync settings, sharing controls, retention, and known-folder move, so company files are backed up, governed, and recoverable instead of quietly at risk.

// why CinchOps manages OneDrive

The files vanish the week someone leaves. Every time.

The call CinchOps gets most about OneDrive is the same one: an employee left, the account was closed, and now their files are gone. We set OneDrive up so that does not happen, for Houston CPA practices, law firms, engineering firms, and construction offices where a lost project folder is a real problem.

01

Files that are really backed up

OneDrive is sync, not backup, and the recycle bin empties on a schedule. We pair it with retention and real backup, so a deleted file is recoverable weeks later, not gone by Friday.

02

Sharing that stays in bounds

Default OneDrive lets anyone share anything with anyone. We scope external sharing and set link expiry, so a sensitive document does not quietly end up public.

03

Ransomware does not win by syncing

When ransomware encrypts a laptop, OneDrive can sync the damage. We monitor for it and keep clean versions, so we roll back to the point before the encryption hit.

04

A named Katy-based engineer owns it

One engineer manages your OneDrive policies and handles the departing-employee handoff, so the files stay with the business instead of leaving with the person.

FAQs

Have Questions?

What is OneDrive for Business?
OneDrive for Business is the personal cloud storage included in most Microsoft 365 subscriptions. Each user gets one terabyte or more of storage for personal work files that sync between their devices. OneDrive integrates with SharePoint, Teams, and Outlook so files can be shared, accessed from any device, and protected by the same security policies as the rest of the Microsoft 365 environment.
What happens to OneDrive content when an employee leaves the company?
By default, Microsoft retains a departing employee's OneDrive content for 30 days after their account is deleted, then it is permanently removed. CinchOps configures longer retention policies and runs a documented departing-employee transfer workflow that moves the OneDrive content to a manager or successor before Microsoft's deletion window runs out.
What is known-folder move?
Known-folder move is the OneDrive feature that automatically redirects the standard Windows folders (Desktop, Documents, Pictures) into OneDrive so the content syncs to the cloud automatically. Users do not have to remember to save files in OneDrive. The data is protected against hardware failure, theft, or ransomware on the local device by being backed up to the cloud.
How does CinchOps protect OneDrive against ransomware sync?
CinchOps protects OneDrive against ransomware in three ways: endpoint protection via Defender that detects the ransomware before it encrypts files, controlled folder access that blocks unauthorized encryption attempts on OneDrive synced folders, and third-party Microsoft 365 backup that stores immutable copies outside the tenant so a restore is possible even if the synced content is encrypted.
How do external sharing controls work in OneDrive?
OneDrive external sharing controls determine who can be shared with, whether anonymous links are allowed, how long shared links remain valid, and whether external recipients need to sign in to access shared content. CinchOps configures these controls so anonymous public links are disabled and external access requires sign-in with auditing of who accessed what.
