Procore surveyed 1,005 builders and owners. Here is what those numbers mean for Houston contractors and their IT.
Construction data security is the part of digital transformation Houston contractors skip. Procore's How We Build Now report, built on a Censuswide survey of 1,005 owners, general contractors and specialty contractors across the U.S. and Canada, found respondents spend 18% of their time on a typical project just searching for data or information.
That number describes a familiar scene. A general contractor in Katy or Sugar Land signs up for a construction management platform, and six months later the current drawing set still lives on a superintendent's laptop, change orders sit in someone's personal inbox, and the job trailer has a file share nobody backs up. We see this pattern in onboarding audits with construction firms across the Houston metro. The software changed. The habits around the data did not.

Contractors Spend 18% of Project Time Searching for Data
What the How We Build Now survey measured, and what those percentages look like on a real job.
Construction data search time is the share of a project spent hunting for drawings, RFIs, submittals and records. Procore's 2023 How We Build Now survey put it at 18% of time on a typical project, rising from 16% at smaller builders to 19% at larger ones, while rework took 28% of total project time.
Respondents gave those two figures as separate answers, so they overlap and should not be added together. Each one is bad enough alone. If 18% held across a project manager's 2,000-hour working year, it would come to 360 hours, roughly nine 40-hour weeks spent looking for information that already exists somewhere inside the company.
Missing data and rework feed each other. A foreman who builds from last week's revision creates rework. An office that cannot find the approved change order cannot prove who pays for the fix. Both failures start with a file nobody can find in time.
Paper and Point Tools Still Run a Quarter of Construction Workflows
Digital adoption across construction is uneven, and the smallest builders sit furthest behind.
Across 13 software areas in the How We Build Now survey, from estimating and invoicing to safety and production tracking, respondents said 26% of their workflows still include paper-based records or non-digital processes. Specialty contractors were the most likely of the three groups to still rely on paper.
Self-rated data maturity tells the same story. 21% of respondents placed themselves at Level 1, where most data sits in spreadsheets or on paper and does not drive decisions. 45% were at Level 2, where individuals use data for their own role but nobody is dedicated to it. Only 26% reached Level 3, with business intelligence tools and data teams, and 8% reached Level 4.
Company size changes the picture sharply. 27% of small builders, those doing $5 million to $50 million a year in construction volume, rated themselves Level 1, against 21% of mid-size builders and 12% of large ones. 48% of large builders reported Level 3 or 4. In our experience the small band is also where a construction firm is least likely to have a full-time IT person, so the companies with the most scattered data have the fewest people watching it.
Scattered data is an IT problem before it is a software problem. A file that exists only on one laptop cannot be backed up centrally, cannot be searched by the office, and walks out the door with the laptop when an employee quits.
General Contractors Rank Data Security as a Top Barrier to Going Digital
The survey's own respondents named security as a reason they hesitate to digitize.
When the How We Build Now survey asked what stands in the way of digital transformation, general contractors put overcoming concerns around data security at 28%, their highest-ranked barrier, ahead of changing established practices and a lack of software that meets their needs at 26% each. Owners and developers also listed data security among their top three at 23%.
That worry is reasonable, and it matches what CinchOps measured from the outside. The 2026 Houston Area Security Index scanned 648 commercial construction and trades firms across the Houston metro. Construction led the four industries scanned with a 1.71 GPA, and 41.7% of those construction firms still failed.
Two findings from that scan explain why centralizing construction data raises the stakes. 36.0% of the construction firms had at least one credential exposure finding in breach data, meaning an employee login had already leaked somewhere. And 91% had internet-facing services an attacker can enumerate, a higher share than law firms or CPA practices. A construction management platform guarded by a password that already sits in a breach dump is one login away from every drawing, bid and pay application the company has.
Centralizing Construction Data Without Protecting It Relocates the Risk
Where project data lives and who can reach it are two separate questions, and a contractor needs an answer to both.
Construction data centralization means moving drawings, RFIs, submittals, change orders and financial records out of laptops, inboxes and job-trailer drives into one managed system. It fixes the search problem Procore measured. It does nothing about who can log in, which is why it has to be paired with access control and tested backup.
The grid below crosses those two questions. Most Houston contractors we meet in onboarding audits start in the bottom-left corner. The common mistake is jumping straight to the bottom-right: everything goes into one platform, but crews share a login, former employees keep access, and nobody turned on multi-factor authentication.
Getting to the top-right corner is mostly unglamorous work. Every person gets their own account with MFA. Access is removed the day someone leaves, including the subcontractor who had a login for one job. Company files stop syncing to personal phones the company cannot wipe. Backups of the file server and critical platform exports run on a schedule and get restore-tested, because a backup nobody has restored is a guess.
The survey suggests firms already sense this. 48% of owners and 46% of general contractors said they prefer an integrated platform that meets most of their needs, compared with 39% of specialty contractors. One platform means one set of access rules to get right, which is far easier to manage than a dozen disconnected tools.
Consolidate, digitize, secure. Do them in that order, but do them in the same month. A contractor who pulls every drawing, bid and pay application into one platform and stops there has built an attacker a one-stop shop. Houston Construction Data Needs a Hurricane Plan Before It Needs Another App
Gulf Coast weather turns scattered project data from an annoyance into a loss.
The National Hurricane Center puts the peak of the Atlantic hurricane season at September 10, with most activity between mid-August and mid-October. For a Houston contractor, the busiest building months overlap with the months a job trailer, a field office server or a superintendent's truck is most likely to take on water.
Scattered data makes that worse. Files that live only on job-site equipment are gone when the equipment is.
